Position Summary
St. Daniel the Prophet Catholic Church is seeking a dedicated and organized
Priest Assistant / Administrative Assistant to support the Pastor and parish office operations.
This position plays an important role in assisting with administrative tasks, parish communications, stewardship efforts, and day-to-day office responsibilities that support the mission and ministries of the parish.
Essential Duties and Responsibilities
Administrative & Office Support
- Provide direct administrative support to the Pastor and parish staff
- Assist parishioners and visitors with general inquiries in a welcoming and professional manner
- Answer phones and assist with front office coordination
- Prepare letters, reports, and official parish correspondence
- Maintain organized parish filing systems and administrative records
- Maintain and update the parish database and parishioner records
- Assist in maintaining the parish calendar including meetings, parish events, and facility use
- Coordinate parish mailings and office communications
- Order and maintain office supplies and ensure the parish office is properly stocked
- Work with vendors and service providers as needed, particularly in the absence of the Maintenance Director
- Assist with facility use requests and maintain records for parish groups using parish spaces
- Provide administrative support to parish ministries and parish events when needed
- Perform other duties as assigned to support parish operations
Communications
- Create, edit, and coordinate the weekly parish bulletin and Flocknote
- Assist with parish announcements, newsletters, social media, and other communications
- Assist with parish stewardship communications and outreach efforts
- Update parish website or digital communications as needed
Financial Administration
- Maintain parish financial accounts and records, ensuring accurate and timely documentation of all transactions
- Assist with bookkeeping functions including recording income and expenses
- Process all gifts and donations received by the parish and ensure proper recording and acknowledgement to donors
- Prepare bank deposits and assist with reconciling parish bank and credit card statements
- Maintain financial files and documentation for parish records
- Assist the Pastor with preparing financial summaries and reports when needed
- Coordinate financial documentation for parish audits or diocesan reporting requirements
- Ensure proper internal controls and documentation for parish funds
Stewardship & Parish Giving
- Provide administrative support for parish and diocesan stewardship initiatives
- Maintain stewardship records and assist with donor communications
- Order parish contribution envelopes and coordinate with envelope vendors
Sacramental & Parish Records
- Assist in maintaining parish sacramental records including Baptisms, First Communion, Confirmation, and Marriage documentation
- Assist with preparation of sacramental certificates when requested
Mass Intentions
- Record Mass intentions and help maintain the Mass intention calendar
- Ensure stipends related to Mass intentions are properly recorded and processed
Qualifications
- Strong organizational and administrative skills
- Excellent written and verbal communication skills
- Proficiency with office software (Word, Excel, email, etc.)
- Ability to maintain accurate financial and administrative records
- Ability to maintain confidentiality and handle sensitive financial and parish information with discretion and integrity
- Attention to detail and ability to manage multiple responsibilities in a sometimes-busy office environment
- Ability to work collaboratively within a small parish team
- Experience in office administration or bookkeeping preferred
- Familiarity with Catholic parish life and practices is helpful
- Must be Bilingual (English/Spanish)
Work Environment
This is a full-time, in-office position within a Catholic parish setting. The Priest Assistant / Administrative Assistant works closely with the Pastor, parish staff, parishioners, and ministry leaders to support the pastoral and administrative life of the parish.
